Is anyone aware of a free online service where I can verify a subcontractors EIN?  I've found a few online but they charge a monthly fee.  If there isn't a free service, can someone recommend a website to use.

The IRS has a free service for you to verify the vendors name to their tax id number.  It takes a little bit of time the setting up your access, but we felt it was worth it.

We collect W-9's from every subcontractor as part of the prequalification process along with their insurance and any necessary licenses.  We verify that the names are exactly the same on the W-9, the insurance certificate, the contractor's license and the bid in order to issue a contract.  We do occassionally find that we run into subs that have multiple entities or do work under multiple names and we have difficulty getting their insurance, W-9, and license to all line up, so it is critical that the W-9 is received prior to execution of the contract in order to resolve any issues.

Hi Harriet,

We are currently trying to insure we have W9's for all of our subcontractors.  We previously accepted the FID info from our subcontract form but we are now moving to getting the actual W9.  For vendors, we only request a W9 if the vendor is performing a service that is required to be reported via a 1099.

Are you collecting a W-9 form from your subcontractors (actually from all vendors)? 

By submitting a W-9, your vendors are certifying that the tax id number they are providing is correct and accurate.
