Steve Kovecsi IIIWe are in the process of evaluating our current accounts payable process and procedures and are looking at going to scanning of all A/P invoices. I would like to talk to some people/companies who have gone to the scanning of A/P invoices and get their feedback on it, pros/cons, implementation struggles and triumphs.

We also use Spectrum by Dexter & Chaney.  They have an integrated document imaging feature that works extremely well.  Probably the biggest efficiency gain we've ever had in Accounting.  You can scan anything at the source and you'll be able to find the scanned document in anything that touches (job cost, general ledger, reports, etc.)

We scan all invoices, keep them in a box for a week, then toss them.  (We know others on Spectrum that toss right away).  We also scan all job related documentation.  The only thing we keep in paper form is the original contract.

Lynn Hanson We use Timberline and a product that was brought to us by a Timberline consultant for both AR, AP, Payroll integrated with Timberline and HR and 401K document storage outside of Timberline. The product is pVault and is the only paperless system I have used. We untilize the APFlow module in addition to pVault. It integrates completely and has routing functions. Susan Hayes You didn't mention what accounting software you have. If you are using Sage Timberline Office, you may want to investigate Timberscan, which interfaces with Timberline AP. It scans the invoices, routes them for electronic coding/approval to the PMs, then back to AP for export directly into Timberline. We have been using it for about a year and love it, love, love it. Saves us hours a week. It was very easy to implement. We were up and running in a day.

We scan all our payables, payroll time sheets, contracts, subcontracts, etc. into our accounting system which is dexter+chaney spectrum and have had great success. We also scan job site information and pictures into the PM Module.

We scan all of our invoices and love it. We use Chameleon Software by Construction Imaging Services.  Chameleon has the ability to both route & save. First, we had to make sure we streamlined invoice processing so we knew all the steps from opening the mail to mailing the check & storing each invoice.  We did need a scanner & dual monitors for some employees. One feature that was a plus was the "scrape" ability. We could type once into the accounting software & "scrape" the information into Chameleon.

Additionally, there was the need to increase storage space on the network & make sure we had a valid off-site back-up service.  The hardest part was getting management to change to the new system. We also went to an off-site shredding company for proper disposal of information.

We transitioned over in 2007 and cannot say how much we love the access. If there is ever a question or someone wants to see an old invoice, we can find it by company, date, job, etc.
